Collect Signed Waivers Where There's No Cell Service

Camps, trailheads, and back-country lodges don't have bars. That's usually where waivers actually get signed — at arrival, on the tailgate, minutes before anyone heads out. HuntDocs is hunting outfitter software with offline signing built in, so clients sign on your phone or tablet with no connection at all, and everything uploads the moment you're back in range. No separate kiosk app to bolt on.

How It Works

Four steps, and only one of them has to happen while you still have a signal.

1
Turn on offline signing for the form

Flip the Offline / In-Person switch next to any waiver or SmartForm you've built.

2
Open it once while you still have a signal

This saves the form to your device. It's the one step that matters — a phone that has never loaded the form can't display it without a connection.

3
Hand over the device

Your client fills out the form, types their name, picks a signature style, and checks the consent box. Tap Next Signer and it's reset and ready for the next person. Sign as many people as you need.

4
Everything uploads on its own

When your device gets back in range, HuntDocs pushes the signatures up automatically — usually within seconds — and shows you a summary of exactly what went through.

What Lands in HuntDocs Afterward

Every signature produces the same records an online signing does. Nothing needs re-keying.

A signed PDF, stored automatically

The completed document is generated and saved to the client's record.

Matched to the right person

If the signer is already in your system, the document attaches to them. If not, HuntDocs creates a new contact from what they entered.

Anything uncertain gets flagged

If a name couldn't be matched confidently or no email was given, that submission is flagged for your review instead of filed quietly.

The signer gets their copy

If they provided an email address, their copy goes out automatically once the signature uploads.

Minors and Guardians

If a waiver requires it, the form asks for the signer's date of birth. When the signer is under 18, a guardian section appears on its own — the guardian enters the minor's full legal name, their relationship, and signs in their own name. The form checks that the minor's name matches the name on the waiver before it will submit.

It Holds Up

Signatures captured with no connection carry the same audit trail as any other. Each one is bound to the exact version of the form that was signed, timestamped at the moment of signing rather than the moment it uploaded, tied to the device that captured it, and backed by a signing certificate. If the form is edited between signing and upload, HuntDocs flags that submission for review instead of quietly filing it.

Printed QR Codes for Check-In

You can print a QR sheet for any offline-enabled form and post it at your check-in table or camp entrance, so several clients can sign on their own phones at once instead of waiting for yours. Worth knowing: a client's own phone also has to load the form while it has a signal, so QR sheets work best where there's still coverage — at the trailhead or on arrival. For a camp with no service at all, your own device is the reliable path.

What to Know Before You Rely on It

Each device is separate

Priming a form on your phone doesn't prime it on your guide's tablet. Open it on every device that will collect signatures while you still have coverage.

Don't clear your browser data before syncing

Signatures live on the device until they upload. Clearing site data first will delete anything still waiting.

Forms that collect a payment can't be used offline

A card charge needs a live connection. Everything else — waivers, contracts, medical and emergency forms, questionnaires — works.

Frequently Asked Questions

Does HuntDocs support offline waiver signing?
Yes. Offline signing is built into HuntDocs — it isn't an add-on or a separate product. Any waiver or SmartForm you've built can be switched on for offline use, and clients then sign it on your phone or tablet with no connection at all.
Can clients sign waivers with no cell service or internet?
Yes, with one setup step. Open the form once on your phone or tablet while you still have a signal — that saves it to the device. After that, clients can complete and sign it at camp with no connection at all. A phone that has never loaded the form can't display it offline, so prime it before you leave coverage.
Do I need a separate app or kiosk to collect waivers offline?
No. Offline signing runs in your device's browser, using the same forms and the same client records as the rest of HuntDocs. There's nothing to download from an app store, no second system to keep in sync, and no separate waiver subscription to buy.
How do offline signatures get into HuntDocs?
Signatures are stored on the device as they're collected, and a banner shows how many are waiting. When the device gets back in range they upload automatically, usually within seconds, and you get a summary of what went through — including any submission that needs your review.
Are signatures collected offline legally binding?
Yes. Signers check the same electronic-signature consent required under the ESIGN Act before they can sign, and each signature carries a full audit trail: the exact version of the form that was signed, the time it was signed rather than the time it uploaded, the device that captured it, and a signing certificate.
Can a parent sign for a minor offline?
Yes. When the form asks for a date of birth and the signer is under 18, a guardian section appears automatically. The guardian enters the minor's full legal name and their relationship, then signs in their own name. The form won't submit unless the minor's name matches the name on the waiver.
Can several clients sign at the same time?
On your device, tap Next Signer after each signature and the form resets for the next person — you can collect as many as you need before reconnecting. You can also print a QR sheet so clients sign on their own phones at once, though their phones need to load the form while they still have a signal.
Are there forms that can't be used offline?
Forms that collect a deposit or card payment can't be used offline, since a charge needs a live connection. HuntDocs won't let you enable offline mode on one. Waivers, contracts, medical and emergency forms, applications, and questionnaires all work.
